The Executive & Company Secretarial Administrator will be responsible for providing general administrative support to the Corporate Governance & Administration (“CGA”) function and proactive executive support to the Chief People Officer (“CPO”) and Chief Technology Officer (“CTO”).
The Executive & Company Secretarial Administrator will provide secretary support in professional meetings and for allocated Executive Committees, Board Committees and Board meetings. The role will provide continued support to the Company Secretary, Executives and Board members to ensure the governance framework for Hodge is maintained at a high quality.
Essential Criteria
- Excellent communication skills with a demonstrable experience of building strong stakeholder relationships
- Highly organised with excellent prioritisation skills
- Excellent attention to detail and accuracy skills
- Strong diary management and meeting planning experience
- Strong experience working across Microsoft programmes
- Proficient in minute taking
- Demonstrable experience in a management support role
Key Responsibilities of the role include:
- Organising the diaries of the CPO and CTO, including arranging both internal and external meetings
- Booking transport and accommodation where necessary
- Preparing Board reports for the CPO and CTO when required.
- Collate and distribute meeting papers, as well as preparing minutes for Executive meetings, as required.
- Support the CGA team in collating information requests from internal and external sources, for example, external audit and PRA documents.
- Support newly appointed Executive members by arranging inductions.
- Organise and follow up on Board, Board Committee and Executive Committee actions for the CPO and CTO.
- Collate, distribute and follow up actions arising from Executive Committees and Board meetings as necessary.
- Support the Company Secretary with Board and Board Committee meetings to include preparing agendas, collating meeting papers using Diligent Boards portal, attending and minuting the meeting, and ensuring final minutes and actions are communicated in a timely manner.
